Cornerstone SWMS (ABN 67 549 365 260) is committed to protecting your privacy. Account Information

When you create an account — via Google sign-in or email and password — we collect your email address and, where provided, your full name. Your account is tied to your email address.

Profile Information

When you complete your My Account profile, we collect the details you provide so they can be embedded into your purchased documents. This may include:

PCBU name and ABN
Worksite and site addresses
Project name and principal contractor
Prepared-by name and role
Contact phone and email
Company logo (uploaded file)

Order Information

When you make a purchase, we record your order number, items purchased, payment confirmation, and the generated document details. Payment is processed securely through Stripe — we do not store your credit card information.

Contact Inquiries

If you submit a contact form inquiry, we collect your name, email address, subject, and message content so we can respond to your inquiry.

2. How We Use Your Information

To create and manage your account;
To generate personalised SWMS and SOP documents using your profile details;
To process and fulfil your orders and provide download access;
To respond to your inquiries and provide customer support;
To maintain order records for accounting and dispute resolution purposes;
To improve our documents, platform, and services.

3. How We Store and Protect Your Information

Your information is stored securely on our platform infrastructure, which is hosted by third-party service providers. Access to your personal data is restricted to you (for your own records) and authorised administrators. Payment card details are never stored by Cornerstone SWMS — they are handled entirely by Stripe, a PCI-compliant payment processor. Authentication via Google sign-in is processed by Google, and Google handles the authentication credentials; we receive only your email address and, where available, your name.

4. Sharing of Information

We do not sell, rent, or trade your personal information. We share information only in the following limited circumstances:

With Stripe, to process your payment securely;
With Google, where you use Google sign-in for authentication;
With our hosting and infrastructure providers, to operate and maintain the Platform;
Where required by law, court order, or regulatory authority;
To protect our rights, property, or safety, or that of others.

5. Document Generation and Your Data

When you purchase a document, your profile information is embedded directly into the generated PDF. This means your PCBU name, ABN, site address, and other provided details become part of the document you download. Please ensure your profile details are correct before purchase.

6. Cookies and Analytics

This platform uses essential cookies to maintain your login session and shopping cart. We may use analytics to understand how the platform is used and to improve our services. This data is aggregated and does not identify individual users.

7. Your Rights

Under Australian privacy law, you have the right to:

Access the personal information we hold about you;
Request correction of inaccurate information;
Request that your personal information be handled in accordance with the Australian Privacy Principles.

You can update your profile details at any time via your My Account page. To request access to or correction of other personal information, please contact us.

8. Data Retention

We retain your personal information for as long as your account is active. Purchased documents remain available for download from My Documents for as long as your account stays active. If an account is inactive for an extended period, or is closed, access to previously generated documents may no longer be available — we encourage you to keep your own copies of anything you've purchased. We may retain order and transaction records after account closure for accounting, dispute resolution, and legal compliance purposes.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date. We encourage you to review this page periodically.

11. Complaints

If you have a complaint about how we handle your personal information, please contact us first and we will aim to resolve it promptly. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC), which handles privacy complaints under the Privacy Act 1988 (Cth).
